Gift Card Reporting

This article discusses the affect of Gift Cards on reports. Because gift cards are both purchased with money and used as money, the accounting methods must be clearly understood so that reporting figures make sense.

Why are gift cards special?

Consider two orders placed in a store:

  1. Customer spends $20 to purchase a gift card.
  2. Using that gift card, a customer purchases a $20 product from the store.

Without considering the payment method, these two orders would appear to account for $40 of income. However, since the second order was made using a gift card that was purchased earlier, the store did not receive income on the second order. Gift cards must be considered in reporting calculations or income would appear to be doubled.

Overview

In a nutshell: NeuCart considers a gift card purchased as income, because this is the point at which the store receives income. When a gift card is spent, the customer order is reduced by the amount of the gift card, therefore this is not considered income. Further, because a store administrator can create gift cards without a purchase, it makes even more sense to not include gift card redemptions as income.

Reports

The following reports include considerations for gift cards:

Sales Totals
A Gift Cards Redeemed column has been added to this report to display the total of gift cards redeemed. The Grand Total (income) column does not include gift card redemptions.
List of Orders Report
A Gift Cards Redeemed column has been added to this report. The Payment Method column will display "Gift Card" when a gift card paid for the entire transaction, or "Partial Gift Card, [payment method]" when a gift card is used in conjunction with another payment method.
Detailed Item Sales Report
The Gross column has been adjusted for order summary rows; this value now represents the total minus gift cards redeemed.

Manager Orders

While the Manage Orders page does not contain reporting functionality, it does include both Order Total and Payment Method columns. This Order Total column will display the full total of the order, whether or not a gift card was used. Examples:

  • If an order was $9.00 and it was paid completely with a gift card, the Order Total will display $9.00 and the Payment Method will display Gift Card.
  • If an order was $9.00 and it was paid with $3 of a gift card and $6 of a credit card, the Order Total will display $9.00 and the Payment Method will display $3 of Gift Cards. Remainder: Credit Card

When viewing a single order, the page breaks down the order completely, displaying:

  • The Cart Total
  • The Gift Card Payments Applied
  • The Remaining Balance after Gift Cards
  • The Amount Paid (if any) with other payments
  • The Payment Fee (if any)
  • The Total Earned after fees.
